Position Overview

As a Property Assistant, you will be responsible for managing the administrative and office functions for the onsite retail/office property management and performing other duties as assigned.

KEY AREAS OF RESPONSIBILITY:

  • Acts as an Ambassador for the project and Northwood Retail.
  • Applies knowledge of real estate documentation and definitions and legal terminology.
  • Partners with Sr. General Manager/Asst. General Manager and is able to successfully assist in the performance of property financial operations and reporting functions.
  • Accounts Payable: Codes each third party invoice; verifies accuracy of GL application and submits each invoice according to Northwood Retail guidelines.
  • Creates and maintains files for all lease documentation for all tenants.
  • Ensures all tenants and vendors have current and accurate certificates of insurance according to Northwood Retail procedures.
  • Initiates and returns calls to vendors, suppliers, contractors and company personnel at management’s request.
  • Schedules and plans meetings and other appointments.
  • Manages and coordinates office operations to ensure company requirements are sufficiently met on a daily basis.
  • Monitors office procedures and resolves problems through collaboration with pertinent contacts, and implements changes as needed.
  • Provides administrative support as needed to management and office staff, including preparing proposals, documents, etc.
  • Coordinates travel and accommodation arrangements and prepares related agendas, documents, etc. for such travel as required.
  • Reconciles monthly expenses for management team; ensures accuracy and submits on a timely basis.
  • Documents, graphics, technical plans and records management including assistance in production, receipt, coding, filing, storage (manual and electronic), and retrieval.
  • Produces and maintains project-related documentation and records (e.g. schedules, inventories, vendors, consultants and costs).
  • Works with third party maintenance, janitorial and other vendors to ensure that the management office is fully functional at all times.
  • Performs other related duties as assigned.

REQUIREMENTS:

  • Bachelor’s degree or equivalent experience.
  • Minimum of 5 years of administrative experience in a fast paced commercial real estate office environment.
  • Understands the level of service that needs to be provided to tenants, contractors, etc.
  • Basic understanding of leases and lease terms and associated accounting principles.
  • Demonstrated ability to independently manage multiple projects/tasks and be able to prioritize in a fast paced environment with a high sense of urgency.
  • Strong verbal and written communication skills.
  • Advanced knowledge of Microsoft Office and Internet Explorer. MRI experience a plus.
  • Ability to handle a fast-paced environment with a positive approach.
